Planning Tips: Creating an Office Relocation Timeline

Planning an office move can be tricky – moving high-value equipment, electronics and machinery can be challenging. Not to mention you’ll be relocating all of your employees. But, the first step to planning an office move would be to create a relocation timeline. What does a good office relocation timeline look like?

Six Months Before the Date of the Move

You should plan the logistics of your office move six months before the scheduled date. During this period, you should:

  • Review your current lease – Check if you’ll need to pay a fee for terminating your lease early. You should also find out if you’re responsible for any property damage during the move.

  • Plan your budget – How much money is allotted to hiring movers? Do you need moving coverage for expensive equipment in your office?

  • Vet local moving companies – Compile a shortlist of movers near your area. Remember: always vet a moving company before hiring one.

Three to Four Months Before the Planned Move

  • Finalize the date of the office move – Schedule an appointment with the moving company on the date of the office move. You should also inform your landlord about the final date of your lease.

  • Inform employees, clients and partners about the office move – This will give them time to prepare.

Two Months Before the Office Move

  • Organize access requirements – Do you need permits to enter your new building? Does your company’s new building have other security requirements?

  • Prepare the new office space – Start preparations for moving into your new office space. You can start by drafting new floor plans or looking for internet and phone companies near your company’s new location. Check if there’s enough space in your new office. If there isn’t, you can store extra equipment and furniture in a rented storage space.

Two Weeks Before the Move

  • Make sure you have the necessary packaging materials

  • Brief your employees about the schedule for the office move
